How Leasoro Property Management collects, uses, protects, and handles your personally identifiable information.
This privacy policy has been compiled to better serve those who are concerned with how their Personally Identifiable Information (PII) is used. PII, as defined in US privacy law and information security, is information that can be used on its own or in combination with other information to identify, contact, or locate a single person. Please read this policy carefully to understand how Leasoro Property Management collects, uses, protects, and otherwise handles your PII in connection with our services and website.
01What Personal Information Do We Collect?
Personal information collected by Leasoro Property Management may include:
- Information contained in a consumer report
- First name or initial and last name combined with any of the following:
- Date of birth
- Social Security Number or other government-issued identification number
- Mother's maiden name
- Unique electronic identification number or routing code
- Telecommunication access devices, including debit or credit card information
- Financial institution account information
- Email address
02When Do We Collect Information?
Leasoro Property Management obtains personal information in the following ways:
- In consumer reports from reporting agencies in connection with lease applications or for other purposes the consumer has authorized
- In rental applications completed by prospective tenants
- In leases, management agreements, and other real estate-related forms completed by owners, tenants, or clients
- In tax reporting forms such as W-9s required from owners and contractors
- When users fill out forms or enter information through our website or Rentvine tenant/owner portal
03How Do We Use Your Information?
Prospective Tenants
Personal information provided by prospective tenants is primarily used to obtain consumer reports (credit checks), perform background checks, and conduct rental history searches through CSI Background Checks. Information from consumer reports may be discussed with property owners on whose behalf Leasoro manages the property. Leasoro may also report information to consumer reporting agencies as required.
Property Owners
When Leasoro acts as property manager for an owner, the owner's personal information is used only to: (a) deliver the required management services; (b) file required reports with governmental agencies such as the IRS; (c) establish ACH direct deposit disbursements via Rentvine; or (d) for other purposes the property owner expressly authorizes.
Clients and Other Parties
When Leasoro represents a person in a transaction, the responsible member/property manager may, on the client's behalf and at their instruction, convey personal information to service providers such as title companies or mortgage lenders as necessary to complete the transaction. Leasoro and its members exercise reasonable discretion when discussing any personal information with third parties.
We may also use collected information to:
- Improve our website and digital tools to better serve users
- Respond to customer service inquiries
- Process rental applications and lease transactions
- Send periodic communications regarding the tenancy, property management, or related services
04How Do We Protect Your Information?
- Physical files maintained by Leasoro are kept in a locked and secured location.
- Electronic records are protected by access credentials assigned only to authorized members and agents.
- Leasoro and its members exercise reasonable discretion when discussing personal information and release it to others only as described in this policy.
- Leasoro does not permit members or contractors to make unauthorized copies of consumer reports or insurance claim records.
- Consumer reports in Leasoro's files are not accessed as a general convenience and are used solely for the purpose for which they were obtained.
- Independent contractors working with Leasoro are instructed to protect personal information in the same manner described in this policy and not permit unauthorized access.
- Our website and digital platforms are regularly scanned for security vulnerabilities. We use malware scanning and secure network protocols.
- Sensitive information transmitted through our platforms is encrypted using Secure Socket Layer (SSL) technology.
- Access to personal data systems is limited to authorized personnel with a demonstrable need.
05Do We Use Cookies?

- To service providers directly involved in a real estate transaction (e.g., title companies, lenders) on behalf of and with knowledge of the client
Non-personally identifiable visitor information may be provided to third parties for analytics, marketing, or other uses.
07Third-Party Links
Our website or communications may occasionally include links to third-party websites. These sites have their own independent privacy policies. Leasoro has no responsibility or liability for the content or activities of linked third-party sites.
08Access to Personal Information
Within Leasoro Property Management, access to personal information is limited to:
- The member/property manager responsible for servicing or coordinating the transaction or tenancy
- The other managing member, as needed for oversight or operational continuity
- Authorized contractors or agents who require the information to assist in processing or performing a task
Property owners do not have direct access to personal information in Leasoro's files. However, Leasoro and its members may discuss information from a tenant's consumer report or lease application with the property owner. Copies are provided to the owner only: (1) with the tenant's written consent; or (2) if Leasoro ceases to be the property manager and the owner or their attorney requests the transfer of files to the landlord, their attorney, or the new property manager.
09Disposal of Personal Information
Personal information is not to be destroyed without authorization from management. Leasoro uses reasonable measures to dispose of personal information, including:
- Shredding or burning physical documents
- Permanently erasing or overwriting electronic files to make them unreadable or undecipherable
- Eradicating personal information from documents or electronic files in ways that render the data permanently inaccessible
10Erroneous Records
If Leasoro erroneously reports information to a consumer reporting agency, Leasoro will act promptly to correct the information in its own records and request the reporting agency to correct its records after the error has been confirmed. If Leasoro maintains an erroneous record that a consumer has issued a dishonored check, Leasoro will promptly delete the record after both parties agree the information is in error, or after the consumer provides a law enforcement report confirming the check was unauthorized.
11Data Breach Notification
In the event of a data breach involving personal information maintained by Leasoro, we will take the following actions within seven (7) business days of discovering and confirming the breach:
- Notify affected individuals via email
- Notify affected individuals via phone call
- Notify affected individuals via written notice
Leasoro also adheres to the individual redress principle, which recognizes that individuals have the right to pursue legally enforceable rights against data collectors and processors who fail to adhere to applicable privacy law.
12CAN-SPAM Act Compliance
Leasoro collects email addresses to respond to inquiries, send transaction-related updates, and communicate about our services. In accordance with the CAN-SPAM Act, Leasoro agrees to:
- Not use false or misleading subject lines or sender addresses
- Identify commercial messages as advertisements where required
- Include our business address in all commercial email communications
- Honor opt-out and unsubscribe requests promptly
- Allow recipients to unsubscribe via a link included in each email
13COPPA Compliance
Leasoro Property Management does not specifically market to or knowingly collect personal information from children under the age of 13.

Leasoro reserves the right to update this Privacy Policy at any time. Changes will be posted to the Leasoro website and communicated to active owners and tenants via the Rentvine portal, company email, or recorded business line. Continued use of Leasoro's services following notification of changes constitutes acceptance of the revised policy.
